Privacy Statement
This privacy statement describes the data collection, use and retention practices of this learning management system website (the “LMS Website”). Through this Privacy Statement, the terms “we”, “us”, “our”, “Baycrest Health Sciences” and “Baycrest” refers to Baycrest Centre for Geriatric Care. By accessing, browsing, registering with or otherwise using any part of the LMS Website, you agree that we may collect, use and disclose your Personal Information as described in this Privacy Statement. “Personal Information” means information about you or that may be used to identify you.
1. Collection and Use of Personal Information
We limit our collection of Personal Information to only what is necessary for educational and administrative purposes. The Personal Information we collect for such purposes may include your name, address, telephone number, email address, user name, password and professional information (such as your title and organization). If you are a student doing a placement at Baycrest (“Placement Student”), you may also be asked for information about your academic program and placement.
The information collected is used to register you, communicate with you about your training, track the status of your training and ensure accurate service, and improve your educational experience. If you are a Baycrest staff person, volunteer or Placement Student, the information collected is used for the administration of Baycrest’s training requirements.
If you sign up/opt in to receiving information about the publications, products and services, courses and events of Baycrest and the Canadian Centre for Aging and Brain Health Innovation, we will also collect your name and email address for this purpose.
2. Consent
When you provide us with Personal Information to register for the LMS Website, we imply that you consent to our collecting it and using it only for the purposes mentioned above. If we ask for your Personal Information for a secondary reason (such as receiving information about other products and services), we will ask you for your express consent.
After you opt-in, you can change your mind at any time. You may withdraw your consent for us to contact you, for the continued collection, use or disclosure of your information, by contacting us at elearning@baycrest.org.
3. Disclosure of Personal Information
The Personal Information you provide to us will not be sold to any third party. Baycrest engages third party service providers and shares your Personal Information with such parties to assist us in delivering the requested services to you. Third party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide for us. If you are a Placement Student, information about your training may be shared with your academic institute.
We may disclose your Personal Information if we are required or authorized to do so by applicable law. For example, we may be required to disclose your Personal Information pursuant to a court order or as part of law enforcement investigations or proceedings.
4. Retention, Storage and Disposal of Personal Information
We will retain your personal information to fulfill the purpose for which the information was collected for as long as necessary and as required by applicable law. If you do not wish for your information to be retained, please contact us.
The LMS Website is hosted by Dual Code Inc. (“Dual Code”). Dual Code provides us with the online platform that allows us to offer the LMS Website to you. Your data is stored through Dual Code’s data storage and databases. Dual Code stores your data on a secure server behind a firewall.
5. Security of Personal Information
To protect your Personal Information, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed. Only authorized employees, agents and others (who have agreed to keep your information secure and confidential) have access to this information.
Your Personal Information is encrypted using secure socket layer technology (SSL) and stored with 256-bit encryption. Please note, however, that no method of transmission over the Internet or electronic storage is 100% secure.
You are responsible for maintaining the confidentiality of the password you use for the LMS Website and are responsible for all activities that occur under your user name and password. You agree to notify Baycrest immediately of any unauthorized use of your password or user name or any other breach of security, and to ensure that you exit from your LMS Website account at the end of each session.
6. Third-party services
If you pay for a course, your transaction will be processed through PayPal. Your information may be processed in the United States and other jurisdictions by a service provider and may be subject to the laws of the jurisdiction in which the service provider is located.
Once you leave the LMS Website or are redirected to a third-party website or application, you are no longer governed by this Privacy Statement or our Terms of Use Agreement. Similarly, when you click on links on the LMS Website, they may direct you away from our site. We are not responsible for the privacy practices of other sites and encourage you to read the privacy policies or statements of those sites.
7. Collection and Use of Non-Personal Information
The LMS Website automatically collects information from visitors. The data collected may include the date and time of your visit, referring websites, information about the browser used to connect to the LMS Website, the pages you viewed during your visit and other actions taken in connection with the LMS Website. When you browse the LMS Website, we automatically receive your computer’s internet protocol (IP) address in order to provide us with information that helps us learn about your browser and operating system.
The date collected is anonymous and we make no attempt to link this information with the identity of individuals visiting the LMS Website. The information is collected on an aggregate basis only and is used to customize the LMS Website and to improve the online experience.
8. Cookies
A “cookie” is a small text file that may be used, for example, to collect information about website activity, and is stored on our system. Most browsers have an option for turning off the cookie feature, which will prevent your browser from accepting new cookies, as well as allowing you to decide on acceptance of each new coolie in a variety of ways.
Two cookies are used by this site. The first cookie is a session cookie, usually called Moodle Session. We recommend that you leave this cookie enabled in your browser to provide continuing and maintain your login from page to page. If you choose to disable this session cookie, this will impact the functionality of the webpage. When you log out or close the browser this cookie is destroyed (in your browser and on the server). The second cookie is for ease of use, usually called something like MODDLIED. This cookie remembers your username within the browser. This means when you return to this site the username field on the login page will be already filled out for you. If you disable this cookie, this will not impact the functionality of this website – you will just have to retype your username every time you log in.
9. Changes to this Privacy Statement
We reserve the right to modify this privacy statement at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the LMS Website. If we make material changes to this privacy statement, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
